Outlook: Paste from .htm (browser copy)

Recommended (works best for images).

  1. Download the .htm file.
  2. Open it in your browser.
  3. Select all (Ctrl+A), then copy (Ctrl+C).
  4. In Outlook, open your signature settings, paste (Ctrl+V), then save.
Outlook: Paste from .xml (Word copy)

Note:

If you copy the .xml content from Microsoft Word and paste into Outlook, images may not display correctly.

  1. Download the .xml file (Word).
  2. Open it in Microsoft Word.
  3. Select all, then copy.
  4. Paste into Outlook signature settings, then save.
Outlook: Removing link underlines — step-by-step

Recommended: Set signature in OWA and sync to desktop

If you see unexpected link underlines in the Outlook desktop client, set the signature in Outlook on the web (OWA) first and let it sync back:

  1. Open Outlook on the web (OWA) in your browser (e.g. outlook.office.com).
  2. After signing in, go to Settings (gear icon) → AccountSignature.
  3. Generate your signature here, then use "Copy to clipboard" and paste it into the OWA signature settings and Save.
  4. Wait for the signature to sync to the Outlook desktop client (usually within a few minutes). Once synced, the desktop app will use the OWA signature and link underlines are often avoided.

This uses the sync between web and desktop, so you don’t need to change hyperlink styles in the desktop app.
